Admin Updates: Helpful Reminders for Families

Welcome to our new Admin Updates section! We’ll use this space to share important reminders, explain school procedures, and keep families informed about everyday administrative matters.

Our aim is to help families find the information they need, understand our processes and know who to contact for assistance. By following consistent procedures, we can help the school day run smoothly and minimise disruptions to student learning.

Student Absences

Please notify the school when your child is absent by updating XUNO, emailing or calling the school. A reason for the absence must be provided so our attendance records can be updated.

For planned family holidays, please provide at least two weeks’ notice to allow time for the required learning plan to be prepared and shared with you before departure.

Late Arrivals

If your child arrives after the morning bell at 8:30 am (Primary) or 8:45 am (Secondary), they must report to Reception to sign in before heading to class. This ensures our attendance records remain accurate.

Early Departures

If your child needs to leave school early, please notify Reception at least two hours before collection. This gives us time to notify the teacher and arrange for your child to be ready.

Please contact Reception directly rather than making arrangements with the teacher. All students leaving early must be signed out through the office.

Forgotten Items

Lunches, drink bottles and other items can occasionally be forgotten. Where possible, please check that your child has everything they need before leaving home.

Items dropped off during the school day must be clearly labelled with your child’s name and class. In Primary, deliveries to classrooms generally take place at 9:15 am and 12:15 pm, so items may not arrive immediately.

Lost Property

Please label all belongings, including uniforms, hats, drink bottles and lunchboxes, with your child’s name.

If your child misplaces something, encourage them to check the school’s designated Lost Property area. Thank you for helping your child look after their belongings and collect lost items promptly.

Visiting the School

For everyone’s safety, all parents, carers and visitors must report to Reception and sign in before entering the school.

If you would like to speak with your child’s teacher, please arrange a meeting through the school office rather than going directly to the classroom.

A Little Reminder for Students

Please remind your child to return to class promptly after toilet breaks and on time after recess and lunch. This helps students make the most of their learning and minimises classroom disruptions.

Payments: Events, Excursions, Incursions and Camps

When an event, excursion, incursion or camp is organised, the details will be published on the XUNO portal. Families will receive a XUNO email when an event requires their attention.

What families need to do

  • Read the event details carefully, including the date, event information, notes to parents and payment and approval deadlines.

  • Complete payment and approval by the stated deadline for events that require payment.

  • Decline the event on XUNO if your child will not be attending.

Why deadlines matter

Payment and approval deadlines allow staff to finalise bookings, arrange transport, confirm student numbers, prepare first aid and medication requirements, and coordinate with external providers.

As these arrangements must be made in advance, late payment requests may not be able to be accommodated. Please ensure payments and approvals are completed by the deadlines shown on XUNO.

Using existing school credit or funding

If your family has a credit balance, CSEF or remaining SSB funding that you wish to use towards an event, please contact the Accounts Department well before the event’s closing date.

Credit or funding must be arranged and transferred to the event payment. This does not happen automatically unless specifically stated, and the required consent must be provided.

Refunds

Each XUNO event requiring payment will include the Saltwater P-9 College Refund Policy. Please read the policy carefully before making payment.

If your child is absent from an event that has been paid for, a refund may not be available.

School camp deposits are non-refundable.

For full details, please refer to the Refund Policy on the Saltwater P-9 College website.

For financial enquiries, please contact Lisa in Accounts Payable at Lisa.James5@education.vic.gov.au.

Thank you for your cooperation in helping us organise safe and successful events for our students.
