Sub School Updates

Important Reminder
Supervision ratios
It is very important we comply with supervision ratios. The VGSA2022 p.65 provides a supervision ratio of 1(ES):4 (students) for education support staff level 1, range 2. Please let your sub-school leader know if you need support during staff break times to ensure this ratio is maintained. For clarity, employed teachers can support more than 4 student at a time.
SunSmart
Please ensure you are familiar with both the Extreme Heat Policy and the Sun Protection Policy coming into the warmer weather.
Extreme heat policy
SharePoint>School documents>All JSA policies> OHS policies> Extreme Weather Conditions policy
Implementation
On days of extreme heat, high winds, poor air quality, or threatening weather, all students will be kept indoors. This decision will be made by the Principal in consultation with the Leadership Team, using information from the Bureau of Meteorology (BOM), Department of Health Heat Health Alerts, and DET IRIS warnings.
The predicted UV rating can be found on the Australian Radiation Protection and Nuclear Safety Agency (ARPANSA Realtime UV Index). The ambient temperature and UV rating will be used to determine the level of risk to students. UV ratings of 6-7 is high, 8-10 (very high) and 11 above is considered extreme.

Recurring notices
Mobile Phones Please do not use your mobile phone in front of the students. If you need to check your emails, sit aside from the students. Class time should be focussed on learning.
Yard duty Please ensure you always have the latest yard duty timetable visible in your classroom and that you are familiar with your duty expectations.
Yellow Vests and Bum BagsPlease wear your yellow vests and bum bags for PG duty. It is important that you are visible. If you do not have enough, please ask reception staff and they will give you additional vests.
Active supervision
Roam – move continuously through your allocated area
Build rapport with students- engage them with games
Anticipate behaviours before they escalate- read the Playground Support Document
Phones away, please – full attention on students at all times
All students must be supervised by a staff member at all times. If a student from your class is taking a movement break and you would like another staff member who is already outside to supervise, please ensure you communicate with them directly.
ALWAYS Check with staff prior to letting a student in an area such as the playground
Seesaw
Please remember to upload photos of students completing all the wonderful activities in the class. The minimum requirement is one photo per student per week. This is important in helping families see the wonderful learning and care you provide each day. Regular updates offer reassurance and help build strong, trusting relationships between families and staff.
AAC Devices
Please ensure your classroom AAC device is charged each day. One member of the classroom staff must take the AAC device with them while on yard duty. We will provide gentle reminders to staff to retrieve it, if it is accidentally left in the classroom.
We will continue to help and model this during check-ins, class visits to support you and increase your confidence on using AAC.
Emails
Please ensure you read your emails before students arrive and after students leave at a minimum to ensure you are up to date.

☀️ SunSmart – Hats, Sunscreen and UV
As we move into warmer weather, a reminder to all staff to ensure SunSmart practices are consistently followed.
- Check the UV daily using the SunSmart app. Sun protection is required whenever the UV index is 3 or above, regardless of the temperature or cloud cover.
- Hats on: Encourage all students to wear an appropriate SunSmart hat when outdoors.
- Sunscreen: Support students to apply sunscreen before outdoor activities, where parent/carer permission has been provided (as per 2026 Indemnity form). Sunscreen should be applied approximately 20 minutes before going outside and reapplied every two hours when outdoors.
- Student support: Some students may require visual prompts, modelling or physical assistance to independently develop their SunSmart routines.
- Skin sensitivities: Families can provide their own sunscreen for students who may experience skin reactions to certain types of sunscreens. An appropriate plan can be developed to reduce the risk of a sunscreen reaction at school where required.
Playground
Before outside play, students will be supported to:
- Pack up
- Line up
- Transition to the playground
At the end of outside play, students will be supported to:
- Sit in their designated area
- Line up
- Walk back to their classroom together
Each classroom has visual strips in their pigeon hole to support this routine. Please use these consistently so students receive the same expectations and visual prompts across the Primary Sub-School.
Our data shows that we have a higher number of incidents around transition times. Having a clear and consistent routine will help reduce unnecessary movement and the increased sensory demands that can occur when multiple classes and students are congregating around classroom doors and in the corridors at the same time.
The aim is to make these transition periods more predictable, organised and calm, while reducing unnecessary sensory demands and supporting student safety and regulation.

Transitions (between locations) focus
We are beginning our focus on transitions this term. Would you mind please reviewing the email sent by Sean on Monday 5 October titled "line up." There is a room number and social story attached to the email. Can you please incorporate this story into your work program (it can be amended as necessary). Morning circle and/or literacy sessions are good times to read it.
Recess
The breezeway is currently closed at recess times. 1:1 students may still access it if it is a preferred location.
If you are rostered on student and are unfamiliar with them, please let Amelia or Sean know so that we can support you to understand their needs. CRTs and CRES are not to support students 1:1 during recess times. Again, please let Amelia or Sean know if you need help with this.
Tristan M (R20)
Please support Tristan M to go to playground 5 or 6. He is not to be on the breezeway. Please make sure the breezeway toilets are locked. He is not to use the breezeway toilets. He uses the old art toilets only. Call Amelia, Sean or Room 20 if you need support with Tristan.
Saundrei G (R21)
Is to only have familiar staff supporting him for recess breaks: Amelia, Sean, Juri, Karla, Sadie, Minsha & Hiba. He is currently accessing the playground and trampoline near the SAKG garden.
Shafay A (R19)
Is to only have familiar staff supporting him for recess breaks: Amelia, Sean, Mary-Jane, Raj & Fiona.
