CSEF (Camps, Sport & Excursion Fund)

All families new to Cheltenham Secondary College in 2018 who have a valid Health Care Card or Pension Card need to provide us with a completed application for the CSEF.

Existing families, where their Health Care Card or Pension is still current we will automatically re‑submit an application form for 2018. (More information and application form available elsewhere in this newsletter).

If you are unsure of the process or your card status, please contact Jan in the Office.

 

COMPASS

Late last year a new option was enabled on COMPASS – “Course Confirmation and Payments”.  This facility allows the payment of the Curriculum Materials and Services Charges through the COMPASS system using a valid credit card.  This option will allow you to pay all at once or pay by instalments.  The dates for instalments are:

  • 23 February 2018
  • 16 April 2018
  • 16 July 2018
  • 8 October 2018

On each of these dates, 25% of the Curriculum Materials & Services Charges will deducted from your card and applied to the Curriculum Materials & Services Charges. 

We will also be using this option for larger camps and excursions giving families the options to pay theses using the instalment feature.  At the moment, we have set up this for the Year 11 Study Camp, Year 7 Orientation Camp and the Leadership Camp.

The “Events” module will continue to be available for families to pay and approve participation in excursions and on site activities.  Please note, if the activity requires a payment, payment and approval can be done on-line, but it is not possible just to approve on-line and make other arrangements to pay.

Families can attend the school to pay for Curriculum Materials & Services Charges and Events.  We have full EFTPOS facilities (American Express EXCLUDED).

COMPASS ERROR – having just explained these arrangements to you COMPASS have advised that there has been difficulties for families to try and pay for an item by instalments.  I will send a COMPASS Message when this is rectified.

 

COMPASS USER NAMES AND PASSWORD

All our students, including any new students who have started at the college this year, will have been issued with their Compass user name and password.  Our new parents have been sent their Compass details and should receive their letters next week.  However, if you are having any problems with logging on to Compass or you have forgotten your password you can speak to Lee, Jan or Jill in Reception.  If they can't fix the problem they will refer you on to our IT department.

 

STUDENT/FAMILY INFORMATION UPDATES

If there you have a change of address, change of  contact details, change or addition to a student's medical condition please advise the school so the details can be updated on our student database.

 

PARENTS VISITING THE COLLEGE

Any parent/caregiver who is visiting the college MUST report to Reception. UNDER NO CIRCUMSTANCES are parents allowed to go directly to a student’s classroom during class-time or wander round the college grounds at recess or lunchtime.

 

DRIVING ONTO THE COLLEGE GROUNDS

Please do not drive onto college grounds when visiting the school as there is very limited parking space and, at the moment, building works in several parts of the school.

 

Of course there will be exceptions to this when you are picking up injured or sick students from the office during the school day. Then it is permitted to drive up to the office area for easier access. If you have to drive into the grounds at any time, please observe the speed limit of 15KPH. The speed limit sign is displayed at the second set of gates.

 

PARENTS ARE NOT PERMITTED TO DROP OFF OR PICK UP STUDENTS INSIDE THE SCHOOL GROUNDS before or after school.

 

There are designated drop off zones in Bernard Street. Parents should be aware that police and Kingston Council traffic officers are often patrolling the area in front of the school looking out for individuals who run red lights, travel above the regulation 40KPH during specified hours or park in non-approved areas.  You are also not permitted to make U-turns in front of the school.

 

STUDENTS WHO ARE NOT WELL AT SCHOOL

Students who are feeling unwell should report to Reception before calling a parent to collect them. If necessary, staff will call the parent/caregiver to collect the child.

 

COLLEGE OFFICE HOURS

Please note the College Office staff are available to support and help you from 8.15am to 4.15pm

The College’s Bursars are available from 8.15am to 4.00pm.
