Telephone
To make an internal call, lift the handset, and press the required extension number.
To make an external call, lift the handset and press line ‘0’ to open an outside line.
*To use the hands-free option, press the ‘speaker’ button on the handset.
The College telephone system has an automatic email alert that informs staff when a voicemail is left. Voicemails will also need to be regularly deleted using a handset, to avoid congestion in your storage space. The voicemail storage can be accessed and managed from any of the College phones.
Telephone Messages
Telephone messages taken by Office staff are left on voicemail or information sent via email.
PA System
Instructions for operating the public address system are located on the PA in the General Office. Announcements made by Office staff or the Principal class, must be kept to a minimum, and are to be made just before a bell is due to sound or during breaks. Emergency announcements may be made as needed.
Pigeon Holes
Each staff member is allocated a pigeonhole in the Main Staffroom. Staff are asked to clear these daily to ensure efficient communication.
Incoming mail will be pigeonholed according to names or positions of responsibility as addressed. Outgoing official mail must have details recorded in the mail book at the General Office, and be left in 'Mail Out' tray. Letters/mail printed on College letterhead must be countersigned by the Principal. No staff member is to use College letterhead without express permission from the Principal. All efforts will be made to use electronic means of communication and minimising the use of addressed mail requiring postage.
Education mail
Edumail is DET's communication system with schools and school personnel. You need your teaching order (T/O) record number and your @education.vic.gov.au password. The College also uses this system for internal communication and you can use this as your personal mail box for work-related communications. Please remember to check edumail daily and respond in a timely manner to all requests. Please remember that all email communications are archived by DET. Therefore, follow the DET guidelines for appropriate use of email and DET technology and property. Report any issues immediately to the IT team and/or Principal.
