2023 Parent Association roles and responsibilities
PA President:
Prepare agendas for the monthly meetings in consultation with school Leadership
Chair monthly meetings
Treasurer:
Maintain financials of the Parents Association
Budgeting for each event
Ensure correct allocation of expenses
Liaise with Sue and Benita in the School Administration Office in regards to all financial transactions
Share at each monthly meeting an update on expenses and total revenue in regards to events.
Secretary:
Take meeting minutes – circulate to PA members following meeting; email copy to Kim Ancrum and Sue Klein following meeting.
Events Coordinator: x2 Grade level allocated events / Whole school events
Contact person for Class Reps to support with organisation of all PA events
Oversees calendar of events
Monitor approval of events through School Council
Communication to class reps in support of upcoming events
Class Rep Convenor:
Coordinating communications to class reps for distribution to class members
Confirmation of class reps in partnership with Benita at the Admin Office and Class Teachers
Maintenance and set up of class distribution lists
Establishment and revision of protocols for communication with community
New Family Convenor:
Welcome new families throughout the year
Add new families to appropriate distribution lists
Link to community members within their class
Marketing and Sponsorship:
Administration of the BBPS Facebook group / Instagram
Partnership and communication with community organisations
Second Hand Uniform:
Oversee Second Hand Uniform Stall – maintain supplies, keep tidy and presentable
Organise communication via school newsletter as needed
Lost Property Coordinator:
Sorting and labelling lost property
Maintain and tidy
Class Representative for class (one-two per class)
Circulate the class list to all parents/guardians (term 1)
Send out weekly updates (updates from Compass, the teacher, the newsletter)
Make regular contact with the teacher
Organise opportunities for parents to socialise within a class and year level
Organise one fundraising event throughout the year, as allocated, including newsletter communication
