Compass (via App and web login) is the main communication and payment tool for WHPS families. We suggest that you log in regularly to check essential information for families.
If you need a password reset or would like assistance with using Compass, please do not hesitate to contact the school's Office.
We are currently reconciling 2025 family transactions and final balances carried forward into 2026. This takes some time to complete, with over 600 students and various transactions per family. The general office is open from 8:30 am to 4:00 pm (Tel: 9561 3457). Please note that students are only supervised at school until 3:45 p.m. After this time, the teaching staff attend meetings. Students who have not been collected will be brought to the office, and parents and emergency contacts will be called for urgent collection. Please note the office closes at 4 pm. Students who remain will receive an urgent SMS alert from the DET Cases system that a child has not been collected.
We strongly suggest you register your child at our OSHC for days when you may be late or unable to collect them on time. It's free to register, and casual bookings are welcome (space permitting).
The Department (which includes our school) does not have personal accident insurance for students.
If a student is injured at school or while participating in a school activity (including off-site) and requires medical treatment, parents/carers are responsible for all of their child’s medical expenses. This includes transport costs such as ambulance costs (which may include an air ambulance if considered necessary).
The Department (including our school) does not have personal property insurance for staff and/or students. This also includes vehicles in the carpark, and personal property on the school site.
Items of personal property that are lost, stolen or damaged at school or during school excursions are not the responsibility of Wheelers Hill Primary School or the Department. Staff and students are reminded not to bring items of value to school or on school excursions.
Wheelers Hill Primary encourages parents/carers/staff to consider obtaining their own accident insurance for students and property of value that may be brought to school.
Our school collects and uses students' and parents' personal information for standard school functions, or as permitted by law, as stated in the School’s privacy policy and privacy collection notice.
Our Photographing, Filming and Recording Students policy [refer to the Policies section of our website], describes how we collect and use photographs, video and recordings of students. The policy also explains when parental consent is required and how it can be provided and withdrawn.
We also ask parents to review the guidance we provide on how we use Microsoft 365/Google Workspace for Education safely at the school and what parents can do to further protect their child’s information. WHPS use the following methods to contact parents, emergency contacts and carers:
Parents/carers and schools are responsible for protecting children's safety and well-being by reporting and monitoring absenteeism.
Please remember to update Compass with your child’s absence in our school’s Compass Portal early in the morning if your child will be away from school or late. If your child has been recorded as absent from school, an SMS message from Compass will be sent to parents at 9:10 am each morning.
If a student is late to school, the parent or caregiver is responsible for bringing the student to the School Office and signing them in. Students will then go directly to the classroom.
If your child needs to leave school early for any reason, please notify the school via the Compass Parent Portal to report the absence. Parents should sign the students out at the General Office when they are collected.
Please discuss this with the principal regarding regular early departure or extended family holidays.
Parent requests for refunds are subject to the school's discretion and are made on a case-by-case basis. Refunds will be provided where the school deems it reasonable and fair to do so, taking into account whether a cost has been incurred, the department's Parent Payment policy and guidance, the Financial Help for Families policy, and any other relevant information.
Please note that consent/payment is due via Compass no later than 48 hours prior to the activity. This gives teachers enough time to finalise bookings and related tasks.
Applications are open for the Camps, Sports and Excursions Fund (CSEF). The CSEF helps eligible families cover the cost of school trips, camps and sporting activities.
Payment amounts for eligible families this year have increased to $400 for primary and secondary school students. This is up from $154 and $256, respectively.

Note: the funds will be held as a credit on the family account and allocated by the school in the following order: Camps, Excursions/incursions, and sports events.
Applications can be entered from 19 January 2026. Parents/carers wishing to apply for CSEF payments for 2026 must submit their application form to the relevant school by 26 June 2026.
However, a parent/carer will only be required to submit an application form to the school in the following circumstances:
If any other details on the application change, such as the declaration.
Where a parent/carer is not required to submit a new application, schools can rollover/copy the previous year’s application on the CSEF system to the current school year.
For New applications or changes to family details
Bring the original signed form to the school office, along with your Health Care Card. We will validate the application, take a copy of your HCC, and submit it on your behalf.
Please ensure all school clothes, bags, and personal property are clearly labelled with the student’s name. This will ensure the property is returned to the correct person if lost.
This term, we will email all families copies of your family statement, which shows your SSB balances carried forward to 2026.

We understand that every family’s circumstances are different. Families who wish to spread out their contributions are welcome to contact the office to arrange a schedule that best suits their situation.
All parent helpers, volunteers, and Visitors must show their Working With Children Card at every visit to the school.
Many parents assist in the classroom, on excursions, and at school events throughout the year, and we appreciate your time. However, all volunteers and parent helpers must hold a valid Working with Children Card.
The card must be presented to the Office every time you sign in (when volunteering at school or as a parent helper on an excursion).
