Annual Reminders from the Office

Compass Program

Compass (via App and web login) is the main communication and payment tool for WHPS families. We suggest that you log in regularly to check essential information for families.

If you need a password reset or would like assistance with using Compass, please do not hesitate to contact the school's Office.

School Saving Bonus (SSB) Balances

We are currently reconciling 2025 family transactions and final balances carried forward into 2026.  This takes some time to complete, with over 600 students and various transactions per family.  We will try to send statements home this term.  In the meantime, you wish to know the balance. Please email the school: wheelers.hill.ps@education.vic.gov.au

General Office Hours

Please note that students are only supervised at school until 3:45 pm. After this time, there is no active supervision of students, as staff attend meetings and other activities.

For Student safety, any student/s who has not been collected will be brought to the office, and parents and emergency contacts will be called for urgent collection.  Please note the office closes at 4 pm (sharp).  Students who remain will receive an urgent SMS alert from the DET Cases21 system that a child has not been collected and that the student's emergency contacts have been called for urgent collection.

We strongly suggest you register your child at our OSHC for days when you may be late or unable to collect them on time.  Registration is free, and casual bookings are welcome (space permitting). Register at:  https://parent-portal.kidsoft.com.au/find-a-place?URLCode=WheelersHillOSHC

Early Student Departures/Pickup

Due to high call volume from 3:15 pm, we are unable to pass personal messages to each child about changes to pickup arrangements or to call the classroom to request early departure for parent pickup.

Parents need to come to the office to sign students out, and time permitting, we will get a message to the classroom for early departure.  Please note that, with over 600 students across various locations, we are unable to contact all students before the 3:30 pm dismissal.

Applications Now Open for Camps, Sports & Excursions Fund (CSEF)

Applications are open for the Camps, Sports and Excursions Fund (CSEF). The CSEF helps eligible families cover the cost of school trips, camps and sporting activities.

Payment amounts for eligible families this year have increased to $400 for primary and secondary school students. This is up from $154 and $256, respectively.

The Camps, Sports and Excursions Fund (CSEF) of $400 per year for eligible primary school students, provides payments for eligible students to attend activities like:

  • school camps/trips
  • swimming extension activities and other school-organised sport programs
  • outdoor education programs
  • excursions/incursions that are extracurricular as defined in the Parent Payments policy
  • graduations/valedictories.

For further details, including applications, please refer to the DET website:

Note: the funds will be held as a credit on the family account and allocated by the school in the following order: Camps, Excursions/incursions, and sports events.

Submitting an application

  1. Applications can be entered from 19 January 2026. Parents/carers wishing to apply for CSEF payments for 2026 must submit their application form to the relevant school by 26 June 2026.

However, a parent/carer will only be required to submit an application form to the school in the following circumstances:

    • The parent/carer is applying for the CSEF payment for the first time – i.e. an application form was not lodged with the school in the previous year
    • The student has changed schools from the previous year
    • circumstances have changed – for example: there has been a change in the student's care arrangement, a change of name or CRN, or a new sibling has started at the school, and the parent/carer wishes to apply for the CSEF payment for the new sibling as well. If a sibling has left the school, a new application is required
    • If any other details on the application change, such as the declaration.

Where a parent/carer is not required to submit a new application, schools can rollover/copy the previous year’s application on the CSEF system to the current school year.

For New applications or changes to family details

  • Download and complete the form below.
  • Bring the original signed form to the school office, along with your Health Care Card.  We will validate the application, take a copy of your HCC, and submit it on your behalf.

Parent Helpers

All parent helpers, volunteers, and Visitors must show their Working With Children Card at every visit to the school.

Many parents assist in the classroom, on excursions, and at school events throughout the year, and we appreciate your time.  However, all volunteers and parent helpers must hold a valid Working with Children Card.

The card must be presented to the Office every time you sign in (when volunteering at school or as a parent helper on an excursion).

For more information on the Working with Children Card and applications, please visit: Home | Working with Children.
