Safe Use of Digital Technology & Photography at TheirCare
We are writing to inform you about an important update to our policies regarding the use of digital technology and personal devices, as well as videography and photography at TheirCare services. From 26th September 2025, all services will implement the Safe Use of Digital Technologies and Online Environments Policy and the Photography and Videography Policy. These policies have been introduced to strengthen child safety, align with new regulatory requirements, and ensure best practice across all services.
Key changes include:
Staff will no longer have access to personal devices during care sessions. Devices will be securely stored for the duration of shifts, except under approved exemption/exception arrangements (e.g. medical necessity, emergency).
Children’s personal devices (including phones, tablets, laptops) may only be used for educational purposes (e.g. homework, research, as part of the educational program or as part of behaviour or other plan) in designated areas.
Smartwatches may be worn, those with a camera must have the function to switch off the camera, and or have a blocker or physical sticker placed over the camera.
Visitors (including school staff attending programs and including parents and guardians staying on site beyond drop off/pick-up) must follow visitor requirements, including no photography or videography on personal devices while onsite (other than related to their own child/ren).
Service-owned devices will be clearly labelled and are the only devices permitted for photography, videography, and communication relating to the program.
Staff Personal Devices
All TheirCare staff (including agency and casual staff) are required to securely store their personal phones and devices for the duration of their shift. Personal devices cannot be accessed while supervising children and may only be used during scheduled breaks in designated staff areas. Any work-related communication, photos, or administration must be completed using service-issued devices. Exemptions are only granted in exceptional circumstances (e.g. medical necessity, emergency) and must be approved. We are communicating these changes to families, staff, and partner agencies. Posters will also be displayed at services to remind all stakeholders of the new requirements. We greatly value the partnership we have with your school community. If you have any concerns regarding the implementation of this policy, or if you believe there has been a breach in the future at your service, please do not hesitate to contact your Area Manager.
