College App

The College has released a new College app for parents - Parent Orbit app. For sport, there are positives and a few challenges with this transfer. The positives in the long run will significantly outweigh the problems.

Change is always challenging as we get used to new ways of doing things. I aim to outline some key points to help understand where to find information.

Benefits

  • The app is a mobile phone version of Parent Lounge and across our systems (Student Café and Parent Lounge) there is synergy and consistency of information and its delivery.
  • When we communicate through Parent Orbit (once it is up and running and teams have been selected) we can target notifications down to the individual team level. So as an example, if we cancel a training session for the 8A rugby team the notice will only go to the 8A rugby parents. This means notifications parents receive will only be information specific to you.
  • By using the College student management system (of which Parent Lounge / Parent Orbit is a part) we can ensure that all registered players are allocated to teams, meaning that (thankfully) we will very rarely accidentally leave off a student from a team list.
  • The information is behind an authenticated login, meaning all information, including student names on lists, are private to the relevant community.
  • Training sessions for boys will appear on their eDiary in Student Café meaning they can see their commitments as well as any changes or cancellations.
  • Roll marking at training will be the same as any classroom lesson and these will be saved.
  • As players move up or down teams the information that is displayed (game information, training details, match venues) will automatically be updated on the Parent Orbit app when staff make the change so the information you see is accurate and up to date.

Challenges

  • The information we need to communicate is managed by staff in Teacher Kiosk and flows through to Parent Lounge / Parent Orbit and Student Cafe so everyone is seeing the same information disseminated in a slightly different way. Parents via Parent Orbit and Parent Lounge and the Students via Student Cafe, therefore unlike the old app, students cannot see this information in app form.
  • The information in the app is set up in activities, therefore a student must be enrolled in the activity for the parent to see the information.
  • Extra offerings (such as representative sport and gymnasium sessions) are not able to be promoted like we used to on the app.

Solutions

  • When staff post a notification on Parent Lounge, they will email the students directly as well. Students are encouraged to have their college email address on their mobile device with notifications enabled as this is how they access information.
  • We have opened registration for all Term 1 and Term 2 activities now. All boys who are interested in playing a sport in these terms need to ensure they are registered as soon as possible. Instructions for registration are attached. This is the only way to gain access to information such as handbooks, calendars and notifications as we release them.
  • Representative sport opportunities will be published each term in the College newsletter and in the daily notices. A group is being created for the gym so boys can access information about gym sessions.

This is going to be a challenging period for us all as we adjust to the changes. Once we identify all the problems and work through solutions, I am confident that this change will be a positive one for us all.
