School Administration

Extended Leave
We would like to remind you of the importance of regular school attendance for all students from Kindergarten to Year 6. It is crucial for students to be present at school every day to ensure they do not miss out on valuable learning experiences.
However, we understand that there may be occasions when your child needs to be absent. Justified reasons for absence include:
- Sickness or infectious disease
- Unavoidable medical appointments
- Attendance at a recognised religious holiday
Exceptional or urgent family circumstances (e.g., attending a funeral)
Absences for these reasons will be marked as "Leave (L)" or "Sick (S)" as appropriate. Other reasons, such as family holidays or visiting relatives, will be marked as "Explained – Unjustified (A)".
Please be aware that students may miss significant learning while away from school. Therefore, we strongly encourage families to plan holidays or travel during school vacation periods.
Holidays taken by students outside of school vacation periods will now be included as absences. A Certificate of Extended Leave can no longer be granted for this purpose.
If you are applying for a planned absence which will exceed 5 days, parents must complete the "Application for Extended Leave Form". This form can be requested by emailing the school your child's name and class.
If the planned absence is accepted, a Certificate of Extended Leave will be issued, and the absence will be marked as “Leave (L)”. If the planned absence is not accepted, the leave will be marked as "Explained – Unjustified(A)" and no Certificate of Extended Leave will be issued.
Thank you for your understanding and cooperation in ensuring your child’s consistent attendance and academic success.
Returning to School After Injury
When students return to school after an injury the school requires the following:
- A medical clearance letter
- A meeting with the school
Injuries may include broken limbs, concussions, abrasions, medical episodes, time in hospital, etc. If unsure please email the school office.
These requirements ensure that arrangements can be in place to safely support the student.
School Tours
Prospective enrolments can email our school office at carlingfow-p.school@det.nsw.edu.au and attention the email to Mrs Adams, our Enrolment Officer who will arrange a school tour.
Carpet allergies
We have noticed many students letting teachers know they have an allergy to carpet. Unfortunately, for many of these students we do not have a record of this allergy or a health care plan. We want to ensure the health and safety of all our students.
If your child has an allergy to carpet, it is essential that we have a current health care plan on file. This plan will help us take the necessary precautions to manage their allergy effectively.
Please contact the school office if your child has this allergy and we will guide you through the process of creating a health care plan. Your cooperation is greatly appreciated in helping us maintain a safe environment for all students.
Newsletter Translations
A reminder that at the bottom of each page of the Newsletter there is a "Language" tab which enables you to translate the Newsletter into your language of choice or convenience.
Statement of Account
Please find attached the link for information regarding making a payment online via the School Bytes Parent Portal.
School Bytes - Absences
Student absences need to be submitted promptly on School Bytes on the day of absence with an explanation.
This is a Department of Education requirement.
If an explanation is not received on the day of absence you will receive an email reminder the following day.
Executive staff will be following up unexplained absences on a regular basis.
Early Departures
If you are requesting to pick up your child early, please enter the absence on the School Bytes Parent Portal and email the school at carlingfow-p.school@det.nsw.edu.au in the morning and the email will be forwarded to your child’s teacher.
Emailing the school addresses the communication issue that arises when a teacher is on leave or an excursion and not able to action your early departure request.
Students will be in the playground at Lunchtime from11.25am to 12.05pm and Recess from 1.25pm to 2.05pm so early departures should be arranged outside these times.
Change of Contact Information
If any of your details have changed, including your contact phone numbers, and you have not notified the Administration office, please complete this form and return it via email - carlingfow-p.school@det.nsw.edu.au. We need to have up to date contact details at all times.
If you have moved to a new address, please supply three forms as proof of change of residential address e.g. current council rate notice or lease agreement, with copy of Rental Bond Board deposit receipt and 3 (three) utility bills e.g. gas or electricity account, water bill, mobile or landline telephone account.
Applications for student travel in 2026
| School student travel information for parents and students |
School Travel Passes
Students who require a School Opal card or travel pass but have not yet applied need to apply or update their details as soon as possible.
In the Opal network, students should travel with a Child/Youth Opal card until they receive their valid School Opal card. If outside Greater Sydney, parents should contact their local bus operator to discuss their travel needs.
Students living in rural and regional areas will receive their travel pass from their nominated transport operator. It may be issued via their school or be sent directly to them at home. Note: some rural and regional operators do not issue travel passes. Students/parents should confirm with their nominated operator if they do not receive a pass. |
| Terms of Use |
Students using School Opal cards must tap on and tap off in line with the Opal terms of use .
This includes travel within the approved times between 6.30am and 7.00pm from Monday to Friday on school days only. Students must use their Child/Youth Opal card for any travel outside these times.
All students are required to comply with the Student code of conduct. The code of conduct aims to ensure the safety and well-being of school children and other passengers. It is important that parents ensure their child is aware of this, as failure to comply with the code of conduct can result in a suspension from travel. |
Regards,
School Administration Team.
