2025 School Fair Committee

 

Dear families

 

Exciting news! Following the huge success of our Community School Fair in 2023, we're excited to announce plans for another event in 2025. However, to make this a reality, we need dedicated volunteers to step into key committee roles that are crucial to the event's success. This committee will be larger than the one overseeing the 2023 fair and without a large committee in place, the event cannot proceed.

 

We are looking for volunteers to fill the below roles. Each role requires dedication and effort leading up to and during the fair. It promises to be a social, fun, and exhilarating experience. If you're ready to take on the challenge, we'd love to have you on board!

Fair Manager & Assistant Fair Manager

  • Fair project management – coordinate meetings to progress planning.
  • Liaise with School Leadership / PFA as needed.
  • Organise fireworks.
  • Overseeing on the day.

 Graphic Design Coordinator

  • Create a themed style for Fair signs and advertising.
  • Create necessary materials – maps, stall signs, real estate boards, flyers.

 Marketing Coordinator (x 2)

  • Liaise with graphic designer for materials.
  • Coordinate real estate agents for board signage.
  • Coordinate local media, local papers / PR.
  • Fair communications writing and management: Facebook, Compass, Newsletter.
  • Organise local flyer drop / posters.

 Stalls Coordinator (x 2)

  • Decide on which stalls to run. Organise external stallholders.
  • Establish a separate Stall Crew to manage individual stands.
  • Act as point of liaison between Stall Crew & Fair team.
  • Work closely with the Food Coordinator
  • Order merchandise for stalls.
  • Be available to troubleshoot any issues in the lead up and on the day.

 Ticket Booth Coordinator

  • Liaise with Rides supplier. Oversee supplier on the day.
  • Set ride ticket prices.
  • Set up trybooking for wristband purchase and distribute bands.

 Food Coordinator x 2

  • Decide on and book external food providers.
  • Seeks sponsorship of free items where possible - bakers; butchers etc.
  • Coordinate ingredients for class-managed food stalls.

 Beverage Coordinator

  • Order all drinks and ice for bar and food stalls.
  • Must have responsible handling of alcohol certificate or be willing to attain one.

 Entertainment Coordinator

  • Source and manage all school and external talent (lead up and on the day).
  • Book stage and sound system.
  • Put together a stage schedule.

 Set-up & Pack-down Coordinator

  • Organise marquees, trestle tables etc.
  • Coordinate set-up on the day and pack-down on the following day.

 Sponsorship Team x 3

  • Contact previous fair sponsors for sponsorship.
  • Prospect for new sponsors for monetary and non-monetary items.
  • Prospect for and manage silent auction items and Raffle, including on the day set up.

 Finance Manager

  • Organise floats for stalls.
  • Work with the School Council to organise cash handling on the day.
  • Digital payments - Tap & Pay

 Safety Coordinator

  • Ensure the event is safe and complies with relevant rules.
  • Source First Aid volunteers from the community and roster for on the day coverage.
  • Book and manage a security guard.
  • Secure food handling certificates for all stalls and external vendors.
