Staff use of AI - Key Requirements

Purpose: These staff guidelines outline the requirements for the use of generative artificial intelligence (AI) tools at Norwood Secondary College. It aims to ensure safe and responsible use of AI while maintaining academic integrity and protecting personal data. The following guidelines reflect DET’s Generative Artificial Intelligence Policy

 

Key Requirements:

  1. Consent and Privacy:

    • Obtain opt-in consent from parents/carers for use of AI tools that require personal information beyond a student’s school email and unique password (to create a student log-in)
    • Ensure student data privacy by not uploading personally identifiable information into AI tools (including names, DOB, location data, student results, etc.). 
    • Comply with the provider's terms for each AI tool.

     

  2. Prohibited Uses:
    • Do not use AI tools to create media depictions of students, staff, or parents.
    • Avoid generating artefacts that disrespectfully mimic cultural traditions.
    • Staff must not use AI tools for communicating with students and parents in ways that replace authentic interactions or undermine professional judgement.

       

  3. Implementation Guidelines:
    • Align AI tool use with the Australian Framework for Generative AI in Schools and comply with departmental policies related to technology use.
    • Use AI tools that do not share, store, or use data for training purposes with third parties.
    • Provide opportunities for students to opt-out if personal information is required for registration.

       

  4. Academic Integrity:
    • Develop a culture of academic integrity and design assessments with AI considerations in mind, mitigating risk of inappropriate use of AI in assessments and other learning activities. 
    • Identify and manage inappropriate use of AI in assessments. Refer to Norwood Secondary College’s Plagiarism and Authentication Policy.

       

  5. Data Protection:
    • Prioritise tools that protect data privacy and do not share data with third parties.
    • Avoid entering sensitive school information, such as student assessment data, identification information or specific location data, into AI tools.

       

  6. Accessibility and Inclusion:
    • Ensure AI tools are accessible and inclusive, accommodating students and staff with disabilities according to legal requirements.

       

  7. Maintain Appropriate use of Generative AI tools:
    • Comply with the requirements of these guidelines relating to protecting privacy and personal data, appropriate use 

Monitoring and Risk Management:

  • Staff will monitor the benefits and risks of AI tool use and consider de-implementation if necessary.
  • Staff will disclose AI tool use to relevant stakeholders when tools impact them.

Definitions:

  • Generative AI: AI systems that create or modify content based on user prompts, including text, images, audio, and more.
  • Personal Information: Any information about a person whose identity is apparent or can be ascertained.
